Our Wedding Package

Your rental fee gives you exclusive access to our 20 acres and all facilities from 9am - 12midnight (that's 15 hours!) and includes:

Frequently Asked Questions

Even though we can bring in our own vendors, do you have a list of vendors you like to work with?

Yes! To help you plan your wedding at The Cedars Ranch, we have created a Vendor List that you may find helpful. These are vendors we have either worked with already or vendors that come with strong recommendation. 

We love that we can bring our own alcohol. Are there any other considerations in relation to BYOB?

If serving alcohol, we do require a TABC-certified bartender to be present. Our Vendor List includes TABC-certified bartending services under the section "Bartending Services & Staffing."

Will we need to hire security for our wedding at The Cedars Ranch?

We require professional security for all events in excess of 75 participants or when alcohol will be consumed. Hays County Constable Precinct 3 can provide you with the necessary personnel. They usually charge about $45 - 50 / hour for a minimum 4 hours. You can visit our Vendor List under the section "Security" for their contact details.

Will I need to have event insurance?

As part of our contract, we require our couples to purchase liability and property damage insurance, including host liquor liability if alcohol is being served. We have a contact list of insurance providers to make this process as easy as possible for our couples.

Do you offer linens, tableware and other rental options?

Linens, tableware and additional items of furniture are not included in your rental fee. We have black tablecloths for 20 reception tables and 6 rectangle tables that you can rent for $100. We also have 5 propane space heaters that you can rent for $30/heater, a beautiful large space rug for $75, a ceremony wooden arbor for $25, and a multi-media screen for $25. Beyond that, we have a list of great "Event Rentals" vendors that you can work with in our Vendor List for other types of linens, your tableware and other items too. 

Are we responsible for the set up and break down/clean up of the decorations?

We include the set up of our in-house furniture in your venue rental fee. This set up will be done in accordance with the layout communicated to us during your final walkthrough, 14 days before your special day. It is then the responsibility of you and your coordinator/planner to finesse the set up and decorate. It is also your responsibility to break down and clean up after the event. 

Can we set up the day before?

The day before setup fee is $500, starting 3pm or later, as long as no other events are booked, within 14 days of event.

With a capacity of 180 in your great hall and 200+ at your outdoor ceremony site, do you think these spaces are also a good fit for 75 people?

Our indoor and outdoor spaces have been intentionally designed to be adaptable to varying guest counts. For example our great hall, while comfortably fitting 150 - 180 reception guests at round tables and chairs, can also work beautifully with a 50 - 75 guest count. With more intimate weddings, you can have your reception tables and chairs (which we include as part of your rental fee), as well as space set aside for dancing (on our wonderful wooden dance floor!). There is also room to create a relaxing lounge area in our great hall, to break up the space and provide a relaxing and fun zone for your guests to enjoy (See section 9. in our blog post "Our Top 10 Boho Fall Wedding Ideas").

We have 40 live-edge cedar benches at our beautiful outdoor ceremony site. Each of these seat maximum 5 people, but look good with 3 - 4 guests too. For more intimate weddings, some of these benches can be relocated to elsewhere on the property. Couples have moved these benches to our tree-lined plaza, providing extra seating outdoors for their guests (perhaps during cocktail hour etc.). Remember, we also have our garden and gazebo for intimate weddings too!

How can I visualize how my guest count will fit in your venue space?

We use online seating planner tool All Seated, to generate seating plans for our venue. If you are interested in using this tool to generate your own seating plan, reach out to us and we'll provide you with your own event link to design your preferred seating plan. Email [email protected]

What if it rains on my wedding day? Does your venue have a rain plan?

If there is rain, the available option is to flip the great hall, so you can host both your ceremony and reception in our largest indoor space. Transitioning the hall from ceremony to reception is the responsibility of the renter, and should be coordinated by your appointed coordinator or hired planner. A more extensive rain plan involving a tent, can be something you can plan for with your wedding planner in advance.

What are your accommodation offerings?

Our Luxury Eco Yurt at The Cedars Ranch sleeps 4 and offers a unique 'glamping' (glamorous camping) experience with beautiful kitchen and dining space, full bath with luxurious slipper tub, gorgeous private bedroom with king-size bed, restful library and living space with comfortable queen sofa bed. As part of our wedding rental package, we include a complimentary one-night honeymoon stay in our yurt the night of your wedding, as long as there's no event booked for the following day. Our yurt is also available for additional rental, at a rate of $231.88/night (including cleaning fee and hotel tax).

We have 2 lounges onsite, each with half bath, that can be used for additional onsite accommodation. The groom's lounge adjacent to our event bar and dressing lounge in our great hall both have queen size sofa beds. Each lounge has it's own private restroom and private entrance.

Do you allow camping onsite?

Yes we do!! If there are a number of campers you may want to think about renting a shower trailer.

Do you offer special rates for elopements or more intimate weddings?

Yes we do! For elopements or intimate weddings of 50 guests or under, we offer our mid week rate of $2,900 for any day, when you book within 6 months of your chosen wedding date. Also, if you have had to postpone or cancel your wedding due to COVID-19 we want to offer you the possibility of holding an intimate wedding of 10 or less in our safer open-air venue. To support our community we are offering this service at a special rate due to the financial hardships many are facing. Reach out to us today about this offer.

Do you offer a military discount?

Yes we do! We offer a special military discount of 15% off venue rental.
